Cancellations & Refunds

We understand travel plans can change. This page explains how cancellations, amendments, no-shows, weather changes, and refunds work for Phase 1 Te Vaka Group bookings.

This policy applies to:

  • Te Waka Tour / Te Vaka Tour
  • Airport transfers
  • Private airport transfers
  • Market shuttles
  • Private charters
  • VIP transfers

General policy

Cancellation and refund rules may vary by service.

The cancellation terms shown during booking should apply to that booking.

Guests should contact Te Vaka Group as early as possible if plans change.

Airport transfers

  • More than 24 hours before pickup: refund or booking change may be available.
  • Within 24 hours of pickup: refund may not be available.
  • No-show: no refund.
  • Incorrect flight details or pickup details may affect refund eligibility.
  • Flight delay: Te Vaka Group will try to adjust where possible if correct flight details were provided.

Market shuttles

  • More than 24 hours before departure: refund or date change may be available.
  • Within 24 hours of departure: refund may not be available.
  • No-show: no refund.

Te Waka Tour / Te Vaka Tour

  • More than 48 hours before tour: refund or date change may be available.
  • Within 48 hours of tour: refund may not be available.
  • No-show: no refund.
  • If Te Vaka Group cancels due to weather, safety, or operational reasons, guests may be offered a new date, credit, or refund.

Private charters and VIP transfers

  • Private charters and VIP transfers may have stricter cancellation terms because vehicles, drivers, guides, and time are reserved.
  • Deposits may be non-refundable where stated at booking.
  • Custom costs already incurred may be deducted from any refund.
  • Date or time changes are subject to availability.

Booking changes

Guests may request changes to:

  • Date
  • Time
  • Passenger numbers
  • Pickup location
  • Drop-off location
  • Flight details
  • Service type

Changes are subject to availability.

Additional charges may apply if the change increases the price or creates extra operating costs.

Weather and safety cancellations

Some services may be affected by weather, road conditions, safety concerns, vehicle availability, guide availability, or local events.

If Te Vaka Group cancels for safety or operational reasons, guests may be offered:

  • New date
  • Similar alternative
  • Credit
  • Refund where appropriate

No-shows and late arrivals

Guests should be ready at the confirmed pickup or meeting point.

A guest may be treated as a no-show if they are not present at the confirmed time.

No-shows may not be eligible for a refund.

Refund timing

Approved refunds are usually returned to the original payment method.

Payment provider processing times may vary.

Card processing fees, booking fees, or bank/payment provider fees may be non-refundable where allowed.

Consumer rights

Nothing in this policy removes any rights guests may have under applicable Cook Islands law.
