These Terms & Conditions apply when you use our website, app, booking pages, QR tickets, payment checkout, or Ask Papa T concierge for Te Vaka Group services.
By using our platform or making a booking, you agree to these terms.
Who we are
Te Vaka Group provides Cook Islands visitor services including tours, transfers, shuttles, private charters, VIP transport, and local guest support.
Phase 1 services may include:
- Te Waka Tour / Te Vaka Tour
- Airport transfers
- Private airport transfers
- Market shuttles
- Private charters
- VIP transfers
- Ask Papa T guest concierge
All Phase 1 services are Te Vaka Group services unless clearly stated otherwise.
Bookings
When you make a booking, you are responsible for providing correct details, including:
- Guest name
- Email address
- Phone number
- Travel date
- Pickup location
- Drop-off location where required
- Flight number where required
- Number of passengers
- Child passenger details where required
- Luggage or special notes where required
A booking is confirmed when payment has been accepted or when Te Vaka Group manually confirms the booking.
Bookings are subject to availability.
Pricing
Prices are shown in New Zealand Dollars unless stated otherwise.
The final price should be shown before payment.
Prices may include:
- Service price
- Booking fee where applicable
- Secure Card Processing Fee where applicable
If a pricing mistake is found, Te Vaka Group may contact the guest to correct, cancel, or refund the booking where appropriate.
Payments
Online payments may be processed by a secure third-party payment provider.
Te Vaka Group does not intentionally store full card numbers.
Payment must be completed before a booking is treated as paid, unless Te Vaka Group has approved another payment arrangement.
QR tickets and confirmations
Some bookings may receive a digital confirmation or QR ticket.
Guests may need to show this confirmation or QR ticket to Te Vaka staff, drivers, or guides.
QR tickets may be scanned to confirm the booking, check payment status, and mark the guest as checked in.
Guests must not copy, alter, resell, or misuse QR tickets.
Guest responsibilities
Guests are responsible for:
- Being ready at the confirmed pickup time
- Providing accurate booking information
- Checking all booking details before payment
- Following driver, guide, and staff instructions
- Respecting local people, culture, land, lagoon, roads, and property
- Supervising children in their group
- Advising Te Vaka Group early of any important mobility, access, luggage, or child seat needs
Te Vaka Group may refuse service if a guest behaves in an unsafe, abusive, intoxicated, illegal, or seriously disruptive way.
Airport transfers
Guests booking airport transfers must provide accurate flight details.
Te Vaka Group will try to manage flight delays where possible, but guests are responsible for giving correct flight numbers, travel dates, passenger numbers, and accommodation or drop-off details.
Delays caused by incorrect details, immigration, customs, baggage, weather, traffic, road conditions, or events outside our control may affect service timing.
Market shuttles
Guests must be ready at the confirmed pickup point and time.
Late arrival or failure to attend may be treated as a no-show.
Tours
Tours may be affected by weather, road conditions, guide availability, safety concerns, guest numbers, or operational changes.
Te Vaka Group may adjust, delay, reschedule, or cancel a tour where needed for safety or operational reasons.
Private charters and VIP transfers
Private charters and VIP transfers are arranged based on vehicle, driver, timing, pickup, destination, and guest requirements.
Additional time, route changes, waiting time, or extra stops may result in extra charges.
Ask Papa T concierge
Ask Papa T is a guest concierge tool designed to help visitors with local questions and Te Vaka Group service information.
Ask Papa T may help with questions about tours, transfers, shuttles, local ideas, rainy day suggestions, and general visitor support.
Ask Papa T is not emergency, medical, legal, financial, or official travel advice.
Guests should confirm important details such as opening hours, weather, availability, safety conditions, and booking times before relying on them.
Changes to services
Te Vaka Group may update, improve, suspend, or remove services, pages, prices, routes, booking flows, or features from time to time.
Liability
Te Vaka Group will use reasonable care when providing bookings, transport, tours, and guest support.
Te Vaka Group is not responsible for losses caused by:
- Incorrect information supplied by guests
- Weather or natural events
- Flight delays or cancellations
- Road closures or traffic delays
- Late arrival or no-show
- Guest failure to follow instructions
- Payment provider or internet outages
- Events outside our reasonable control
Nothing in these terms limits any rights that cannot legally be limited under applicable Cook Islands law.
